DESCRIPTION

You will have the opportunity to…
  • Be responsible for answering and relaying incoming and interoffice calls to the appropriate person or department as well as greeting visitors and announcing their arrival.
  • Be in a hybrid role that combines Office Administration and Receptionist support functions for the Dundee Capital Markets location in Calgary.
  • Be responsible for answering and relaying incoming and interoffice calls to the appropriate person or department as well as greeting visitors and announcing their arrival.
 
Key Responsibilities:
  • Answer incoming calls with appropriate greeting and direct the call to the correct person or department;
  • Arrange for meetings and books appropriate conference rooms;
  • Receive, screen and greet all visitors courteously, determines their needs and announces their arrival to the appropriate person following the necessary departmental requirements / procedures;
  • Ensure visitor badges are assigned and collected at the end of the meeting;
  • Notification of mail – Canada Post, Fedex, Purolator, ICS; Regional offices;
  • Manage parking passes;
  • Update the intranet phone list and attendant look-up system for all companies and places updated copies in each conference room; 
  • Back up for other office services clerks (cross-training);
  • Keep updated with department names and position titles in each department; and
  • Understand long distance phone call procedures.
 
Skills and Experience:
  • High school diploma or equivalent;
  • Previous experience as a Receptionist (Capital Markets or Securities experience is a desired asset);
  • Excellent human relations skills to deal effectively with visitors, employees or customers in person and on the telephone;
  • Ability to demonstrate confidence and control to handle difficult callers and visitors;
  • Demonstrates professionalism and courtesy at all times;
  • Ability to focus in a sometimes noisy/distracting environment;
  • Ability to sit for long periods of time;
  • Ability to work with minimal supervision;
  • Excellent organizational skills and ability to work in a fast-paced environment; and
  • Demonstrates initiative, patience and customer focus
