Partners International Office (PIO) provides nonimmigrant visa services to approximately 3,000 foreign nationals from 87 countries.  PIO serves members of the Partners Healthcare, Inc. network including Massachusetts General Hospital, Brigham and Women’s Hospital, Spaulding Rehabilitation Hospital, McLean Hospital, Northshore Medical Center, Newton-Wellesley Hospital, and Brigham and Women’s Faulkner Hospital.

DESCRIPTION

General Overview

Partners Office for International Staff, Scholars and Students seeks a dynamic, experienced professional to work with the Director/Assistant Director to oversee three areas of our department:

  1. Process improvement and client relations
  2. Website and communications
  3. Database queries and maintenance

Our office seeks a highly motivated individual to transform complicated non-immigrant visa processes into user-centered services that comply with U.S. government regulations and mandates.   The Specialist will work with internal clients to develop and enhance web-based services and database technologies to help the office improve communication, efficiency, and visa services. 


Responsibilities

1. Process improvementand client relations

  • Strengthen relationships with all internal hospital contacts to develop open lines of communication regarding effectiveness of website, database, email announcements/templates, visa request instructions, and printed materials.
  • Interview stakeholders to elicit and document work flows and business needs.
  • Recommend additions and modifications to existing standards as client requirements and technological options evolve.
  • Develop and perform usability evaluation scenarios.  Evaluate feedback and incorporate enhancements to achieve intuitive visa sponsorship requests.  
  • Identify internal communications strategies and tools to inform and educate company management and international employees about visa requirements.
  • Liaise and secure technical/programming services from IT, Marketing, outside vendors/consultants to enhance user experience.
  • Promote collaboration among staff to streamline visa processes.
  • Keep current with developments in the field of web production, website support and United States Citizenship and Immigration Services regulations through journals, attendance at conferences and workshops, informal professional contacts, and other means.

2. Website and communications

  • Formulate content for dissemination in a web context.
  • Developand implement strategies for coherent and user friendly website, including navigation strategy, menu and link text, and connections with related websites.
  • Research and develop content and file organization structure for information-dense website.  
  • Coordinate a schedule for regular site updates. Ensure prompt and accurate website updates to maintain accurate information resources.
  • Content development for brochures/handouts, memos, and listserv/email announcements.
  • Develop and update internal forms.
  • Ensure website style and editorial standards are consistent with office standards.
  • Develop and execute a range of web and communication projects, including social media initiatives, website analytics, etc.
  • Identify methods to build and reinforce our department’s brand within Partners HealthCare.
  • Develop and lead cultural events/meetings for newly arrived international staff.
  • May present at meetings and conferences.

3. Database queriesandmaintenance

  • Run reports/queries.
  • Send visa expiration notifications.
  • Develop new database templates and eForms.
  • Track statistics (number of visas processed per month, expiration dates, processing times, etc.)
  • Assist in maintenance of Sunapsis non-immigrant visa database.
  • Serve as intermediary between vendor, IT and staff during planning, development, testing, and implementation phases.
  • Track bugs and problems reported by end users to ensure appropriate follow up with vendor and IT. Maintain project schedules.

Qualifications
  • Bachelor’s degree in Communications or related field.
  • 4+ years of hands-on experience managing a wide variety of communication projects.  Project work experience should be focused on content development and solutions for client needs.  Samples of your work will be requested.
  • Knowledge ofDreamweaver, TeamSite, or other CMS.
  • Proficiency in all Microsoft Office programs.
  • U.S. Citizenship or Legal Permanent Residence status required by federal regulations for Designated School Official/Alternate Responsible Officer certification.

Willingness to learn(or previous experience with):

  • United States Citizenship and Immigration Services regulations
  • HTML, SQL, ColdFusion, and JAVA to occasionally enhance database/website
  • Healthcare or consumer products/services
  • International travel/study abroad
